Yura Artu Art & Tours

Tour Terms and Conditions and Cancellation Policy

1. Scope and booking acceptance

These terms apply to new Yura Artu tour bookings made under these terms, including individual bookings, private groups, schools, community organisations and tour operators. The person or organisation named on the booking is responsible for payment and for communicating the booking requirements to participants. If a booking agent is involved, check the confirmation for who collects payment and handles refunds.

A booking is confirmed once you accept the quote and these terms and Yura Artu confirms the booking in writing. Quotes and tentative dates are subject to availability until confirmed. The confirmation identifies the tour, date, meeting point, price, inclusions and any minimum group charge. Any agreed variation must be confirmed in writing. Prices are in Australian dollars and include GST where applicable.

2. Payment and final group numbers

Group bookings must be paid in full 30 calendar days before the tour. Final participant numbers are also due 30 calendar days before departure. We will issue the invoice in advance of the payment deadline. If you book a group tour within 30 calendar days of departure, full payment is due on confirmation. Any deposit forms part of the total price.

If final numbers are overdue, we will ask you to confirm them. If you do not respond by the deadline in that notice, we may use the last numbers you agreed in writing for planning and invoicing, subject to the confirmed minimum group charge. Additions are subject to capacity and must be paid for before the tour. Reductions are handled under clause 3.

Individual bookings must be paid in full before attending the tour, by the deadline in the booking confirmation. All amounts due must be paid before participants can join the tour. If payment is overdue, we may give written notice requiring payment by a stated deadline and release the booking if payment is still outstanding. The deadline will take account of how soon the tour departs. Any amount retained following release will be assessed under clause 3.

3. Customer cancellations, reductions and no shows

Email Yura Artu using the contact details on your booking confirmation as soon as you need to cancel, reduce numbers or request another date. Notice is measured in calendar days before the scheduled departure, using South Australian local time, and takes effect when received. A date change is subject to availability and takes effect when confirmed in writing. If you release the original booking, the cancellation rules apply unless we agree otherwise in writing.

These rules apply where the agreed tour can safely proceed and the booking changes for reasons on your side. If weather, travel restrictions or road closures prevent you from reaching us, contact us promptly so we can assess the circumstances and any applicable rights before applying a charge.

When we receive your notice Maximum cancellation charge
30 calendar days or more before departure No cancellation charge
15 to 29 calendar days before departure Up to 25%
8 to 14 calendar days before departure Up to 50%
0 to 7 calendar days before departure, including a no show Up to 100%

The percentage applies to the agreed price of the cancelled booking or affected places. For a partial cancellation, any minimum group charge agreed at booking may still apply to the tour that goes ahead. We will account for amounts recovered through that minimum charge so the same loss is counted once.

The charge is the lower of the stated maximum and the reasonable net loss caused by the cancellation. We will take reasonable steps to reduce the loss and account for costs saved and revenue recovered from rebooking. Reasonable costs incurred specifically for the booking may form part of that assessment. We will explain any deduction, provide a breakdown on request and promptly refund any balance. We do not add a separate administration charge.

4. Weather, access and changes by Yura Artu

We may adjust meeting arrangements or the route when reasonably necessary for safety, park access or cultural obligations while preserving the agreed experience. We will communicate changes as soon as practicable.

If Yura Artu cannot deliver the agreed tour because of weather, park or road closures, cultural obligations or another disruption, you may choose a full refund of payments for the affected tour. If you prefer, we can agree in writing on a replacement date, suitable alternative tour or booking credit. We will explain any price difference before you accept an alternative. If a tour has already started and is interrupted, we will assess what was delivered and offer any remedy required by law.

5. Replacement dates and booking credits

When you request a replacement date, we will tell you in writing how long any proposed date can be held. If you do not confirm by that deadline, we may release the date. An indication that you may rebook is an expression of interest. A replacement booking requires written confirmation from Yura Artu after you accept the date.

An open credit requires your express agreement. We will record the credit amount and redemption details in writing. If we cannot agree on a suitable replacement date for a credit issued under clause 4, you may request a refund of the unused amount. If you cancel a confirmed replacement tour that we could safely deliver, clause 3 applies using the replacement departure date.

6. Arrival, access and safety

Arrive at the meeting point by the time stated in your confirmation. If you are running late, contact Yura Artu immediately. We may depart at the scheduled time where waiting would compromise safety, access or the experience of other guests. If we reasonably cannot accommodate a late arrival, clause 3 may apply, subject to your rights under law.

Read the tour description and booking instructions before attending. Let us know in advance about relevant access, medical or support needs so we can discuss suitable arrangements. Complete any required forms before departure and bring the footwear, water and equipment specified for the tour. For tag-along tours, the organiser must arrange suitable vehicles and drivers, and obtain any required park passes identified in the booking confirmation.

Follow guide instructions, stay with the group where directed and comply with park and site rules. Yura Artu may refuse or stop participation where reasonably necessary to address unsafe conduct, serious disruption or a breach of site or cultural rules. Where practical, we will explain the concern and give the participant an opportunity to address it. Any refund or cancellation charge will be assessed under these terms and applicable law.

7. School groups and minors

School staff and group organisers are responsible for participant supervision, required permissions and appropriate support arrangements for minors. Yura Artu provides the guided tour. The organiser must ensure a responsible adult is available to support any participant who needs to stop or leave the activity.

8. Cultural protocols and recording

Follow the guide’s directions about access to cultural places and about photography, filming and audio recording. Ask permission before recording cultural stories, artwork, sites or demonstrations. Permission to record for personal use does not extend to publication, commercial use or reproduction. Seek separate permission before sharing restricted cultural material or using it commercially.

9. Refunds, complaints and consumer rights

Send refund requests and booking concerns to the contact details on your booking confirmation. Include your booking reference and tour date. We will respond as soon as practicable. Where a refund is due, we will process it promptly using the original payment method where practicable or another method agreed with you.

These terms are subject to Australian Consumer Law and other applicable law. Nothing in these terms excludes, restricts or modifies a right or remedy that cannot lawfully be excluded, restricted or modified.
